2026 Orlando Event Planner's AV & Technology Guide
Free. Takes about 20 seconds. No sales call unless you ask for one.
Yes, we provide the LED walls, audio, staging, and rigging for Orlando events. The guide helps you plan them before you book.
2026 Orlando Event Planner's AV & Technology Guide
Ceiling heights, power, internet, load-in notes, and typical technology cost ranges for Orlando's top venues, from the Orange County Convention Center to the resorts on International Drive and Lake Buena Vista. Know what you are walking into before you sign.
Your name and email are all we need to send the guide. On the next page you can tell us your venue, and a real person will send three ideas written for it.
How it works
Step 1: Tell us about your event
Where it is, who is coming, and what you want them to walk away with. Three minutes, and you do not need to know anything about technology.
Step 2: Get something useful in under a minute
A venue guide, a readiness score, or a quote audit, written for your event and your venue. Not a brochure.
Step 3: Hear from a person, not a drip campaign
Someone at AV-AMERICA reads your results and sends three ideas specific to your event. One email, one name, one reply address.
Step 4: Book 15 minutes if it helps
If anything in your results is worth talking through, grab a slot. We answer questions and flag risks. We do not read you a price list.
Questions planners ask us
Is this a sales pitch?
No. Each tool gives you something you can use whether or not you ever call us: a venue guide, a readiness score, or a quote audit. If you want to talk afterward, there is a 15-minute slot waiting. If not, keep the results with our compliments.
Do I need to know my venue yet?
No. If you have one, tell us and we will tailor everything to it. If you are still choosing, the guide is the fastest way to compare Orlando venues on the things that cause trouble later: power, ceiling height, internet, and cost.
What happens to the quote I share?
It is used to produce your audit and, if you book a call, to prepare for it. It is not shared with anyone outside AV-AMERICA and it is never used to contact the company that wrote it.
Is a computer making these recommendations?
AI does the first pass so you get results in under a minute instead of a week. A person at AV-AMERICA reads every result before we follow up with you, and every recommendation is checked against what we know about your venue.
Do you handle captions, translation, and accessibility?
Yes, and they are part of the first conversation, not an add-on the week before. Live captions and translation come with the plan when your audience needs them, and we help you think through hearing, vision, mobility, and sensory needs in the room: assistive listening, step-free access to the stage, seats with a clear view of the screens, a quiet space. We are not lawyers. We can tell you what supports accessibility at your venue; your organization confirms its own requirements.
Can AI personalize the attendee experience?
Yes, and the readiness check shows you how for your event: live captions on every screen, a written summary after each session for anyone who missed it, and recommendations, questions, and polls through an event app. Attendees who read faster than they listen and attendees who process information differently each get a way in. No statistics, no hype, just what fits the people in your room.
We already have a provider, or the venue has in-house technology. Is this still useful?
Yes. Many Orlando venues have a house team, and many planners already have a quote. The readiness check and the budget audit are designed to make that existing plan better and to give you questions worth asking before you sign.
Do you work outside Orlando?
Our focus is Orlando and Central Florida, including the convention corridor, the resorts, and the theme-park venues. If your event is elsewhere in Florida, tell us about it and we will let you know honestly whether we are the right fit.
What does any of this cost?
The guide, the readiness check, the budget audit, and the 15-minute conversation are free. You will only ever see a price after you have asked for one.
